Menu and stock
Menu is what you sell: names, prices, categories and options. Stock is your storeroom: counts and deliveries.
- Add or edit an item
- Item pictures (icons)
- Sizes and add-ons
- Categories
- Record a delivery (Stock in)
- Stock in from a receipt photo
- Low stock
- Add or remove stock (damaged, expired, used)
- Recipes and ingredients
- Suppliers and consignment
- Import from Excel
Add or edit an item
- Menu then Add product.
- Fill in Name, Category, Price and, for owners, Cost. Optional: SKU, Barcode, Unit, Low stock alert at, Tile color, Initial stock.
- Tap Add product.
- To edit, tap the item in Menu, then Edit product, change it and tap Save changes.
Staff can edit items but never see or change costs. To stop selling an item, the owner opens it and taps Deactivate; tick Show inactive to bring it back with Reactivate.
Item pictures (icons)
In the Playful view every item shows a small picture, picked automatically from its name and category. "Iced Spanish Latte" gets an iced drink, "Ligo Sardines" a sardines can, "Smart Load 50" a load card. Brand names like Coke, Pocari and Lucky Me work too. If nothing matches, the item shows a paw.
- To change one: open the item in Menu, tap Edit product, then Change icon next to Icon. Search or pick a group, tap a picture, then Save changes.
- To go back to the automatic picture, tap Use automatic icon.
- Owners can fix many at once: Menu then Icons lists the items showing a paw.
Need a picture we do not have yet? Send the item name through Message PeppyPOS support on the Ask Peppy? page (paid plans), or Send us a message on peppypos.com. The Plain view shows no pictures.
Sizes and add-ons
- Simple sizes: in the item form turn on This item has options (size / hot / iced) and tap Add option for each one, each with its own price. The tile shows "from ₱90".
- Option groups: tap + Variant group for pick-one choices like Size, or + Add-on group for extras like an extra shot or pearls. A size price replaces the base price; an add-on price is added on top.
Stock is counted on the item, not on each size. Removed options are switched off, not deleted, so old sales keep their names.
Categories
- Menu › Manage › Categories.
- Add with New category name and Add. Rename with the pencil. Tap the color dot to pick a color.
- Use the up and down arrows to set the order of the chips on the Sell screen.
- Deleting a category keeps its products; they just become uncategorised.
Record a delivery (Stock in)
Owners, and staff with the Adjust stock permission. Needs internet
- Stock then the orange Stock in button.
- Pick the Supplier (optional) and type a Note.
- Search each item by name, SKU or barcode. A USB scanner works too, and on phones and tablets with a camera tap Scan to scan barcodes (each scan adds 1).
- Set Qty with the - and + buttons or type it, and the Cost per unit (owners).
- Tap Save stock in. You get a delivery number like P-0001.
For one item, the quicker way is the green + on its row (see Add or remove stock). On a phone, Stock in opens full screen.
The cost you type becomes the item's new cost. Deliveries cannot be edited or deleted; fix a mistake with Adjust stock.
Stock in from a receipt photo
Advance, Pro and Business
- In Stock in, tap Scan receipt and take a photo of the supplier's receipt.
- The app fills in the lines it can match with quantity and cost. Check every line.
- Lines it could not match are listed under Not matched; add those by hand.
- Tap Save stock in. The photo is kept with the delivery in Stock-in history (look for the camera icon).
If the photo cannot be read, it is still saved with the delivery.
Low stock
- Set each item's level in Low stock alert at. Blank uses the store default from Settings › Store › Default low-stock level.
- Tiles at or below the level turn red on Sell. A tile at 0 shows Out and cannot be tapped, unless the owner turns on Allow selling even when stock is 0.
- Stock has a Low stock card. Tap Show to see the list, each with an Add stock button.
- The Low stock only toggle on Menu filters the list.
Add or remove stock (damaged, expired, used)
Owners, and staff with the Adjust stock permission. Needs internet
Every item in Menu and in Stock › Levels has a green + and a red - on its row. The item page has Add stock and Remove stock too, and Stock › Adjust lets you search or scan any item.
- Add: tap the green +, tap a quick button like +10 or +24 (or Usual, the size of the last delivery), then tap Add. Supplier and cost are optional under Supplier and cost.
- Remove: tap the red -, set how many with - and +, pick why: Damaged, Expired, Spoiled, Used in store, Lost or missing, Count correction or Other, then tap Remove. A note is optional.
- The sheet shows "Now 24 → after 34" before you save.
Made a mistake? Tap Undo on the message that shows for 10 seconds. Undo adds a reversing line to the history (nothing is deleted). Only the person who made the change can undo it, within 10 minutes.
To type the real count instead, tap Set an exact number instead, or Adjust stock on the item page and pick Set new stock.
Advance, Pro and Business For a full shelf count use the Count tab on Stock: type what you counted for each item and tap Save count. The Movements tab shows every stock change.
Recipes and ingredients
Pro and Business
- Add ingredients first: Stock › Ingredients › Add ingredient with Name, Unit, Cost per unit (₱) and Starting stock.
- Open the item in Menu, go to Recipe, tap Add ingredient and type the quantity used per serving. Repeat for each ingredient.
- With Auto from ingredients on, the item's cost follows the recipe ("Cost to make").
- Decide on Track this item's own stock. Off means made to order: each sale only takes ingredients. On means you also count the item itself, like bottled drinks with a cup and lid recipe.
After saving once, Add option extra lets a bigger size use more of an ingredient.
Suppliers and consignment
Advance, Pro and Business
Keep your supplier contacts in Menu › Manage › Suppliers. For items a supplier leaves with you, tick Consignment (owned by a supplier) on the item. The Suppliers page then shows what you owe for items already sold, and you record payments with Settle all owed, Record payment or Mark selected paid.
Import from Excel
Owner only
- At the bottom of Menu, open Import / Export and tap Download items CSV.
- Edit prices, costs, categories or add new rows in Excel or Google Sheets. Keep the id column.
- Tap Import CSV and pick the file. The Import finished box shows what was created, updated and skipped.
Import never changes the stock of existing items. A blank price or cost cell keeps the current value.
